We do not sell your personal information for money. We disclose your information in the following circumstances:

3.1 Within Our Platform (Multi-Tenant Sharing)

This is the most common type of sharing. See Section 4 below for detailed explanation of how data is shared between organizations on our platform.

3.2 With Service Providers

We share information with third-party service providers who help us operate our platform, such as:

  • Cloud Hosting
  • Email Services: For sending notifications and communications
  • Analytics Tools: To understand usage patterns and improve our platform
  • Payment Processors: To handle billing and payments (if applicable)

3.3 For Legal Reasons

We may disclose your information if required by applicable law, regulation, or lawful request from a court, regulator, or governmental authority.

3.4 Business Transfers

If Unifocal (or its assets) is acquired by or merged with another company, your information may be transferred as part of that business transaction.

3.5 With Your Consent

We may share your information for other purposes with your explicit consent.

4. Data Sharing in Our Multi-Tenant Platform

Understanding Our Architecture: Unifocal is a multi-tenant platform. This means multiple organizations (Contractors, Government Entities, and Subcontractors) use the same platform, but each has their own separate account with access to their own data.

However, when organizations work together on projects, they can see relevant information about each other. This is essential for construction project management.

4.1 How Contractors and Subcontractors Share Data

When a subcontractor is added to a project:

Contractors Can See:

  • Subcontractor company name and contact information
  • Contractor representative name and email
  • All workers assigned to their projects
  • Worker names, certifications, and payroll data for workers on their projects
  • Time entries and hours worked on their projects
  • Contract details and progress

Subcontractors Can See:

  • Contractor company name and contact information
  • Project details (name, address, requirements)
  • Contract details (scope of work, dates, requirements)
  • Compliance requirements for their workers
  • Payroll submission status

Workers Are Visible To:

  • The Contractor for projects they're working on
  • Their employer (the Subcontractor company)
  • Any Contractor representatives authorized to manage their data

4.2 Types of Contractor Relationships

Account-Specific Contractors:

  • Subcontractors created by and belonging to a single Contractor
  • Data is visible to that Contractor

Shared Contractors:

  • Subcontractors who work with multiple Contractors
  • Each Contractor can see worker data for their own projects
  • The same Contractor representative may manage data across multiple Contractor accounts

4.3 Contractor Representatives with Multiple Companies

Some Contractor representatives manage multiple Subcontractor companies. They can:

  • Switch between Contractor accounts
  • View and manage data for all Contractors they represent
  • Access projects across multiple general Contractors (but only for the Contractors they manage)

4.4 What This Means For You

If you're a Contractor employee:

  • You can see data for Subcontractors and workers on your organization's projects
  • You cannot see data for other Contractors' projects

If you're a Contractor representative:

  • You can see data for all Contractors you're authorized to manage
  • You can see project details from general Contractors who hire your company
  • You cannot see data for Contractors you don't represent

If you're a field worker:

  • Your information (name, certifications, pay) is visible to:
    • Your employer (the Subcontractor company)
    • Contractors on projects where you work
    • Contractor representatives authorized to manage your data

All Subcontractor data within the platform remains the property of the Contractor that uploads and/or manages it. Unifocal processes such data solely to provide and maintain the Services and does not determine how Contractors or Government Entities choose to share or manage that information.

5. Your Rights and Choices

Depending on where you live, you may have rights regarding your personal information. You may contact us at privacy@unifocal.io to:

  • Request access to the personal information we maintain about you;
  • Request that we correct inaccurate or outdated information;
  • Request deletion of personal information that we are not required to retain for business or legal purposes; or
  • Opt-out of marketing communications by clicking "unsubscribe" in our emails or contacting us directly.

We will respond to these requests in good faith within a reasonable time, consistent with our contractual and operational obligations. If you are a field worker, we may refer your request to your employer (the applicable Contractor or Subcontractor) and will assist the customer as described in the Terms.

6. How We Protect Your Information

We take the security of your personal information seriously and implement multiple safeguards to protect it.

6.1 Data Retention

We will retain your personal information for no longer than is necessary for the purpose stated in this Privacy Policy, unless otherwise extending the retention period is required or permitted by law or subject to our retention procedures as may be in place from time to time. The data storage period may vary with scenario and Services.

  • Use strong passwords - Combine letters, numbers, and special characters
  • Log out when finished - Especially on shared computers
  • Report suspicious activity - Contact us immediately if you suspect unauthorized access

6.3 Limitations

No system is 100% secure. While we implement strong security measures, we cannot guarantee that unauthorized access, hacking, data loss, or breaches will never occur.

While we use encryption and secure protocols, no method of transmitting information over the internet is entirely secure. You should avoid sending sensitive or confidential information to us through unencrypted channels.

Your use of any linked website is at your own risk and subject to that website's privacy policy. Links do not imply endorsement by or affiliation with Unifocal.

We may update this Privacy Policy from time to time to reflect changes in our practices or operations or to align with updates to the Terms. When we update this Privacy Policy, we will revise the "Last Updated" date at the top of this document.
